5 Ways to Extend the Life of Your Office Printer

1. Use the right paper, stored properly. Paper that's damp, dusty, or the wrong weight for the printer causes jams and leaves debris inside the paper path over time. Keep reams sealed in their wrapper until use, especially in humid weather.

2. Don't let dust build up. Printers pull in more dust than most people realize, especially units placed near windows, aircon vents, or high-traffic areas. A quick wipe-down of the exterior and a look inside the paper tray every so often prevents dust from working its way into the rollers and sensors.

3. Print regularly, even a little. Printers that sit unused for weeks are more prone to toner clumping and dried-out inkjet nozzles than printers used consistently. If a unit is rarely needed, a short test print every week or two keeps things moving.

4. Don't ignore small error messages. A paper jam that clears easily or a minor sensor error is often an early warning sign, not just a one-off glitch. Printers that get cleared and ignored repeatedly tend to develop bigger mechanical issues sooner than ones where the underlying cause gets checked.

5. Schedule preventive maintenance instead of waiting for a breakdown.
