This notice explains what personal information the company keeps about you as an employee or staff user of our systems, why, and what rights you have under the Data Privacy Act of 2012 (RA 10173).
What we keep
- Your profile. Name, email, phone number, role, job title, company, who you report to, and your profile photo.
- Sign-in and security. Your two-factor authentication setup, the devices you sign in from, and your active verified sessions.
- Activity records (audit logs). Important actions you take in the staff portal and Josan Camp: what was done, when, from which IP address and device.
- Watermarks. Your name, email, and the time appear on customer records while you view them, so any screenshot or photo can be traced.
- Field work. Arrival and departure photos, serial-number photos, and the equipment and stock assigned to you.
- Josan Camp. Your posts, comments, check-ins, to-dos, documents, votes, and bookings.
- Money matters. Budget requests, reimbursements, cash releases, receipts, and your acknowledgement and signature when you receive or return money.
- Notifications. If you turn on push notifications, the address of your phone or browser and its type.
Why we keep it
To run operations and schedule work; to secure company and customer data; to keep an accurate record of who did what; to account for company money, stock, and equipment; and to meet our legal, tax, and labor obligations.
Who can see it
Admin and management can see all of it. Supervisors see what they need for the people and work they oversee. Colleagues see only what you share in shared spaces, such as Josan Camp posts. We do not sell employee information. The providers that host our systems process it only on our instructions.
How long we keep it
While you work with us, and afterwards for as long as needed to settle anything still open between you and the company. For example: unliquidated cash advances or budgets, unreturned equipment or stock, unfinished accountabilities, or any pending claim. After that, we keep only what labor, tax, and accounting laws require.
Your rights
You may ask to see the information we hold about you, ask us to correct anything inaccurate, and object to or question how it is used. Some records, such as audit logs and financial records, cannot be changed or deleted, because they exist to keep an accurate history for everyone, including you.
